Manage employee access

Managing access for your employees / users can only be done when there are Licenses available for your organization. A License can only be allocated to your organization by a provider.

Licenses can be managed from different places in the Customer Portal. When managing a License, it is important to decide on how access will be granted:

  • User, a licence can be assigned to a specific user. This means only this specific user has access to the applications / services this license grants access to.

  • Group, a license can be assigned to a group. This means all users that belong to this group have access to the applications / services this license grants access to.

  • Organizational unit, a license can be assigned to an organizational unit. This means all users that belong to this organizational unit have access to the applications / services this license grants access to.

It is important to realize that when assigning to a group or organizational unit, users can automatically use the license when they are assigned to the group or organizational unit. Similarly, when a user is removed, they will no longer be able to use the license.

The same goes for any optional policies that are assigned on this level, all users that belong to the group or organizational unit will have access to the optional policies assigned to them.

Manage License from Licenses overview

Assign

To assign a license, navigate to the Customer Portal to the license detail page of the license you want to assign, and:

  1. Click ‘Assign License’

  2. Select ‘Users’, ‘Groups’, or ‘Organization Units’

  3. Select the user(s), group(s), or organizational unit(s) you want to assign the license to

  4. Select any optional policies you want to be assigned

  5. Confirm the choice by clicking ‘Assign License’

  6. The license is now assigned and can be used.

To assign a license to your entire organization, so that all users of your organization can use it:

  1. Go to Organization in the menu

  2. Go to Licenses tab

  3. Click ‘Assign License’

  4. Select the license you want to assign

  5. Select any optional policies you want to be assigned

  6. Confirm the choice by clicking ‘Assign License’

  7. The license is now assigned and can be used.

Edit

To edit the optional policies of an existing license assignment, navigate to the Users / Groups / Units tab and:

  1. Click the three dots at the end of the row from the user / group / unit you want to edit

  2. Click ‘Manage Optional Policies’

  3. A modal pops up, update the selection of optional policies to the new situation

  4. Confirm the update action by clicking ‘Apply’

  5. The license assignment is now updated for by this user / users in this group or unit

Unassign

To unassign a license, navigate to the Users / Groups / Units tab and:

  1. Click the three dots at the end of the row from the user / group / unit you want to unassign

  2. Click ‘Unassign License’

  3. A modal pops up, confirm the unassign action by clicking ‘Yes, Remove’

  4. The license is now unassigned and can no longer be used by this user / users in this group or unit

Manage License for specific User

Assign

To assign a license to a specific user, navigate to the Licenses tab on the user detail page of that user.

  1. Click ‘Assign License’

  2. Select the license you want to assign

  3. Select optional policies you want to assign

  4. Confirm your choice by clicking ‘Assign License’

  5. The default and selected optional policies of this license are now assigned to this user

Unassign

To unassign a license, navigate to the License tab and:

  1. Click the three dots at the end of the row from the license you want to unassign

  2. Click ‘Unassign License’

  3. A modal pops up, confirm the unassign action by clicking ‘Yes, Remove’

  4. The license is now unassigned and can no longer be used by this user

Manage License for Group

Assign

To assign a license to a user group, navigate to the Licenses tab on the group detail page of that group.

  1. Click ‘Assign License’

  2. Select the license you want to assign

  3. Select optional policies you want to assign

  4. Confirm your choice by clicking ‘Assign License’

  5. The default and selected optional policies of this license are now assigned to this group and available for all users in this group

Unassign

To unassign a license, navigate to the License tab and:

  1. Click the three dots at the end of the row from the license you want to unassign

  2. Click ‘Unassign License’

  3. A modal pops up, confirm the unassign action by clicking ‘Yes, Remove’

  4. The license is now unassigned and can no longer be used by users in this group

Manage License for Organizational Unit

Assign

To assign a license to an organizational unit, navigate to the Licenses tab on the organizational unit detail page of that organizational unit.

  1. Click ‘Assign License’

  2. Select the license you want to assign

  3. Select optional policies you want to assign

  4. Confirm your choice by clicking ‘Assign License’

  5. The default and selected optional policies of this license are now assigned to this organizational unit and available for all users in this organizational unit

Unassign

To unassign a license, navigate to the License tab and:

  1. Click the three dots at the end of the row from the license you want to unassign

  2. Click ‘Unassign License’

  3. A modal pops up, confirm the unassign action by clicking ‘Yes, Remove’

  4. The license is now unassigned and can no longer be used by users in this organizational unit
